Create a portal, email your customer a secure link, and watch the plan build itself — then review, approve, and turn it into a live event.

Before you start

You need three things: the GlanceMenu mobile app with a manager role, push notifications turned on (Settings → Notifications → Event Planning), and your customer's name and email address. That's it — your customer never creates an account, and you never chase paperwork again.

Create a portal for your customer

Every event starts with a planning portal. It takes about two minutes to set up.

  1. 1.Open the Event Planning tab and tap Create Event Planning.
  2. 2.Enter your customer's name and email address — double-check the email, since that's where the link goes.
  3. 3.Add the event details: title, date, event type, and estimated guest count.
  4. 4.Pick a package tier — the tiers come straight from your venue's Event Offerings, so customers only see what you actually offer.
  5. 5.Tap Create. GlanceMenu generates a unique, secure portal link for this event.

Send the link

Portal invitations are delivered by email. From the confirmation screen, your customer receives a personalized invitation with their secure link, what to expect, and their deadlines — instantly. Prefer to hand it off another way? Copy the portal link and paste it into any message, or show the QR code for an in-person handoff. The same link always works, so nothing is ever lost.

What your customer sees

Your customer opens the link — no login, no app to install — and walks through their event section by section: package tier, menu selections, signature drinks, guest list, floor plan, bridal party, service providers, and their final appointment. The portal saves automatically every few seconds, so they can stop mid-menu on Tuesday and pick up Thursday without losing a thing. Most customers finish in 15–20 minutes. Green checkmarks show what's done; clear warnings show exactly what's missing. When everything's complete, they submit — and a final sheet PDF is generated with every selection in one document.

Track progress without chasing

Your dashboard shows every active plan with a live completion percentage and a last-updated timestamp, so you always know who's on track and who's stalled. Push notifications keep you posted at the moments that matter:

  1. 1.Started — your customer opened the portal and made their first selection.
  2. 2.Halfway there — they've hit 50%. They're on track; let them work.
  3. 3.Complete — everything's submitted and ready for your review.
  4. 4.Gone quiet — no activity for a while. A friendly call usually gets things moving.

Review and approve

When the plan is ready, review it in the app: package tier and pricing, every menu selection, all three signature drinks, guest count, and dietary notes. Download the final sheet PDF — it's your single source of truth for the kitchen, the bar, and the floor. You can approve once a plan reaches 80% completion — handy when the only items left are optional. If the customer hasn't submitted their final sheet yet, GlanceMenu asks you to confirm before approving, so an early lock-in is always deliberate. Approving locks the portal so nothing changes under your feet. Need a change later? Reopen the portal, let the customer edit, and re-approve.

Convert to a live event

One tap turns an approved plan into a live event in GlanceMenu. Menu selections, signature drinks, guest list, and floor plan carry over automatically — your team runs event day from the same data your customer entered, with no retyping and no relay errors.

Tips from busy managers

  • Send the portal link the day the customer books — momentum matters.
  • Tell customers to plan for 20 minutes. Set the expectation, and they'll finish in one sitting.
  • If a plan sits at 0% for three days, call. It's usually a lost email, not a lost customer.
  • Review completed plans within 24 hours, and confirm key details by phone before approving.
  • Print the final sheet for the kitchen, the bar, and the DJ. One document, everyone aligned.

Frequently asked questions

My customer lost the link. Now what?
Open the event and resend it by email — the same link still works, and all their progress is preserved.
Can I send the link by text message?
Link delivery is currently email-only. If your customer prefers another channel, copy the portal link and share it from your own phone.
Can I fill in selections for my customer?
No — the portal is customer-facing, which keeps their preferences accurate and in their own words. You can see everything they've selected in real time and guide them by phone.
Can two people work on the plan together?
Yes, the link can be shared — but one person should edit at a time, since the most recent save wins.
What if something changes after I approve?
Reopen the portal from the event's actions menu. Your customer makes the change, you review, and you approve again with an updated final sheet.
